HESS moves document approvals from printed paper to one workflow platform
We mapped HESS's processes and built a platform with document templates, automated approval workflows, role-based views and a tender portal for external applicants.
The Challenge
At HESS, documents were created in Excel and Word, printed for signatures and passed around by hand for approval. One approval could take weeks or even months. With work spread across multiple tools, the process caused delays and errors.
The Approach
We mapped HESS's key processes in a series of joint meetings and pinpointed the bottlenecks. We assessed the current applications and existing market solutions. We designed a custom application and delivered a UX prototype, which HESS tested extensively before we refined it. The platform brings templates for all required documents, automated approval workflows with reviewer notifications and role-based views for each user. A tender management portal lets external parties apply for tenders directly.
The Results
Users generate documents from templates and send them for review inside the platform. Designated reviewers are notified automatically instead of waiting for paper to reach them. HESS can now view, compare and filter tender applications in one place, which cuts the time spent on evaluation.
