How Immovativ Built a Real Estate Vacancy and Settlement Management Platform

Immovativ needed a platform where property owners and tenants could post, filter, and manage settlement requests for vacant properties. easy.bi built it with Symfony, React, and automated PDF reporting.

The Challenge: Managing Vacant Properties Without a Central Platform

Real estate vacancy management is a coordination problem. Property owners have vacant spaces they need to fill. Potential tenants have settlement requirements they need to match with available properties. Between them sits a process that - without the right tools - depends on phone calls, spreadsheets, and manual matching.

Immovativ saw that this process was fragmented across email threads, PDF attachments, and disconnected databases. Property owners posted vacancies through inconsistent channels. Tenants submitted settlement requests without visibility into what was available. And the teams managing the process spent more time on administrative coordination than on actually matching properties with tenants.

The core problems were clear. First, no central registry of vacant properties with standardized information. Second, no structured way for tenants to submit and track settlement requests. Third, no filtering or search capability to match properties with requirements efficiently. And fourth, no automated reporting - every status update and summary report was assembled manually.

Immovativ needed a purpose-built platform that connected both sides of the vacancy equation: property owners posting available spaces, and tenants searching for properties that matched their settlement criteria.

“Vacancy information was scattered across emails, PDFs, and phone calls. Nobody had a complete picture of what was available. Every match required manual coordination.”

Why Immovativ Chose easy.bi

Immovativ needed a development partner who could build a two-sided platform - serving both property owners and potential tenants - with the technical sophistication to handle advanced filtering, notification systems, and automated document generation. The platform had to be built right the first time, because both user groups would judge Immovativ by the quality of the digital experience.

easy.bi's team brought the full stack Immovativ needed: Symfony for the backend, React for the frontend, and Node.js with Puppeteer for PDF generation. The team's experience building platforms that serve multiple user types - with role-based access and distinct interfaces - matched Immovativ's two-sided marketplace model.

“easy.bi understood we were building a two-sided platform. Property owners and tenants have different needs, different workflows, and different success metrics. The team designed for both.”

The Approach: A Two-Sided Platform With Smart Matching

easy.bi designed the platform around two user journeys: property owners listing vacancies, and tenants searching for and applying to settlement opportunities. Both journeys converge in a management layer that gives Immovativ's team visibility into every listing, request, and match.

Streamlined registration and user management. The platform supports multiple user roles - property owners, tenants, and administrators - each with distinct permissions and interfaces. Registration is streamlined to reduce friction: new users can post a listing or submit a request within minutes of creating an account. The user management system handles profile verification, role assignment, and access control.

Advanced filtering and sorting for property discovery. Tenants search vacant properties using filters that match their settlement criteria: location, size, type, availability date, and custom attributes specific to the settlement context. Results sort by relevance, and saved searches notify users when new matching properties appear. For property owners, the same filtering capability helps them understand demand - which property types and locations are most requested.

Notification system for real-time updates. Both property owners and tenants receive notifications when relevant events occur: a new matching property is listed, a settlement request is submitted, a status changes. The notification system reduces the need for users to manually check the platform - updates come to them.

Automated PDF generation with Puppeteer. Status reports, property summaries, and settlement documentation generate automatically as PDFs using Node.js and Puppeteer. Administrators can produce reports for stakeholders without manual assembly. Property owners receive formatted summaries of interest in their listings. The automated pipeline replaced hours of manual document creation with one-click generation.

“The collaboration was structured around clear milestones. We used Jira and Confluence to track progress, and easy.bi's team delivered consistently against every sprint commitment.”

The Results: A Central Platform Connecting Properties With Tenants

The platform gave Immovativ what hadn't existed before: a single system where vacant properties, settlement requests, and the matching process all live together. Property owners post listings with standardized information. Tenants search and filter against their criteria. Administrators track every interaction from a unified dashboard.

The advanced filtering capability transformed how tenants find properties. Instead of reviewing every listing manually, they set criteria once and receive notifications when matching properties appear. Time-to-match decreased because the platform surfaces relevant options automatically.

Automated PDF generation eliminated the manual reporting burden. Status reports that previously took hours to assemble now generate in seconds. Property summaries, settlement documentation, and stakeholder reports all produce from the platform's data - formatted, consistent, and always current.

Key Takeaways

  • Two-sided platforms need distinct user journeys. Property owners and tenants have different goals and different workflows. Designing separate interfaces for each - unified by a shared data layer - ensured both sides found value in the platform.
  • Filtering is the core feature for marketplace platforms. The advanced search and notification system transformed property discovery from a manual review process into an automated matching experience.
  • Automate reporting from the start. PDF generation with Puppeteer eliminated manual document assembly and ensured every report was current, consistent, and producible on demand.
  • Notification systems reduce platform dependency. Users don't need to check the platform constantly when relevant updates come to them. The notification system kept both property owners and tenants engaged without requiring daily logins.
