Hidroelektrarne na Spodnji Savi (HESS), a leading Slovenian hydroelectric power company, partnered with easy.bi to revolutionize their operational workflows. By transitioning from manual processes scattered across multiple software tools to a centralized digital platform, HESS optimized efficiency, enhanced collaboration, and significantly accelerated project timelines.
Our contribution
Through a series of collaborative meetings, we meticulously mapped out HESS's key processes and pinpointed operational bottlenecks. Our team conducted thorough research to assess their current applications and explored existing market solutions.
We conceptualized a custom application designed to optimize workflows and keep all stakeholders updated on progress. This included preparing a user experience (UX) prototype, which was delivered to HESS for testing and feedback.
Our solution consolidated all tasks into one integrated platform. We developed templates for various documents, automated approval workflows, and created role-based access to ensure each user had a personalized view tailored to their responsibilities.
The journey to success
Our collaboration with HESS began with in-depth meetings to understand their operational challenges and goals. We engaged with key stakeholders to gain insights into their daily workflows and the inefficiencies caused by manual processes.
By mapping out their key processes, we identified that reliance on multiple software tools and manual document handling was leading to significant delays and errors. Documents were created in Excel and Word, printed for signatures, and manually circulated for approvals - a process that could take weeks or even months.
Recognizing that existing market solutions did not fully meet HESS's unique needs, we proposed developing a custom application. We focused on creating a solution that would streamline document creation, approval processes, and tender management.
The impact
We developed a UX prototype to provide a tangible vision of the proposed solution. HESS tested the prototype extensively, allowing us to refine the user interface and functionalities based on their feedback.
During implementation, we built comprehensive templates for all necessary documents, enabling users to generate and send them for review within the platform. Approval workflows were automated, with designated reviewers receiving notifications and access to documents requiring their attention.
To enhance their tender management process, we created a dedicated portal where external parties could easily apply for tenders. HESS could then view, compare, and filter applications efficiently, drastically reducing the time spent on evaluation.
